Senior Institutional Onboarding Specialist

CAPTRUST is seeking a full-time Senior Institutional Onboarding Specialist to guide the onboarding process for both our new institutional client relationships and existing clients who have added additional services. This role will be focused on our Defined Contribution non-discretionary business and both ERISA and Non-ERISA. There will be a large focus on investment coordination for CIT investments. The candidate must maintain the highest professional and ethical standards, be well-organized, service-oriented, and capable of performing under tight deadlines.

Responsibilities

  • Provide guidance to Client Management Consultants (CMC's) and Financial Advisors as early as the prospect phase to set proper expectations of how clients will be serviced
  • Oversee and communicate all phases of the onboarding and transition process to interested parties by creating project plans/timelines as well as schedule and lead recurring onboarding calls that define action items and accountability across teams
  • Work as a client services CIT liaison between internal and external partners - including the Defined Contribution team and investment managers
  • Develop and document a process for gathering CIT forms and using CIT portals, completing paperwork, maintaining participation agreements, providing implementation guidance, and creating best practices for current and new CITs
  • Partner with the client services training team to share current/new CIT investment updates with the Institutional Client Services & Operations team at large
  • Collaborate on an ongoing basis with the Marketing and Institutional Solutions Teams to evaluate client facing prospect and onboarding deliverables
  • Partner with other members of the onboarding team to continuously identify risks and opportunities as it pertains to the onboarding of institutional clients and work together and with management to address effectively
  • Work with the Defined Contribution team to document all onboarding processes, including investment onboarding, at our recordkeeping partners and any associated documentation while further strengthening our relationships with those partners
  • Manage and monitor data integrity and the internal set-up of new institutional defined contribution clients, plans, and associated investment records
  • Keep abreast of regulations related to CITs, i.e. 403(b) legislation and liaise with retirement plan consulting team as needed

Qualifications

Minimum Qualifications:

  • A minimum of 5-7 years' experience working in client services for an organization that provides retirement plan services for 401(k), 403(b), Non-Qualified or Defined Benefit plans
  • Understanding of retirement plans from an operational, record-keeping, and investment perspective
  • Proficiency in navigating CRM systems and MS Office Suite
  • Proven track record of attention to detail, efficiency, and accuracy in managing project timelines and related action items
  • Superior communication and relationship building skills

Desired Qualifications/Skills:

  • Industry relevant FINRA Series licenses such as 6/7 and 63/65/66
  • Working knowledge of ERISA guidelines and regulations
  • Comprehension of the qualitative and quantitative aspects of various types of investments including mutual funds, separate accounts, alternatives, and private equities
  • Understanding of the various levels of investments including the fund managers and associated expenses; furthermore, how they fit into a plan's fund line-up and impact the plan participants
  • Experience working with financial advisors and plan sponsors
